Overview
Creating a Tender document.
This checklist is intended to provide you with a brief outline what you will need to do to create
your documents with the TDS system.
This section if for users with Administration-level access, using the Admin screen.
- Access the Setup form to define the locations of the output directories, the database file, and the company's logo file.
Make sure that these directories & files are already in place before users try to create documents with the system.
- Use the Address form to fill in the company's mailing address, which will be included in the tender documents.
- Create a user account in the User Maintenance form to permit individuals to access the system. Set a default password (users
can change their own password from the File menu on the main screen).
Provide the new user with the appropriate level of access:
- ADMIN - Administrator Account. Permits access
to all forms.
- USER - User Account. Permits full access to
functional forms only, it does not allow the user to access the
Control module.
- QUERY - Query Only Account. Permits access to
the same forms as USER, but does not allow for updating the
database or producing documents
- Use the Template form to create Templates for automatically linking specified
Clauses to a Tender based on it's selected type. A Template is only applied when a new Tender is created (a
Template cannot be applied to a previously existing Tender).
This section if for people with USER access. ( Top of Page )
- In the Clause Maintenance form, create or edit the clauses which will be included in a contract or tender document.
- In the Letter Maintenance form, create or edit the cover letter(s) which will be included with a contract or tender document. (Optional)
- Create or edit the vendors/clients, if necessary, in the Vendor Maintenance form.
- Define a new tender in the Tender Maintenance form. If this tender will be of a predefined type (ie. a template with a
set of clauses which will be assigned to a tender by default) that has not been created, goto the
Tender Types form (in the "Open" menu) to create/customize a type & link clauses to the template.
- Use the Build form to link/unlink clauses, vendors, and letters to a particular tender.
From here you can open the Make Documents form to write out a tender and/or the cover letter(s) linked to it.
- Use the Response form to keep track of Vendor's responses to each Tender. You can save the date of a response, bid amount,
details, and contact information.
